Site Facilities Co-Ordinator
Job Title: Site Facilities Co-Ordinator
Department: QSHE
Reports to: Nick Thorburn
We are looking to recruit an experienced and versatile Site Facilities Co-Ordinator to join our team at Street Crane.
Job Purpose:
To manage the coordination and compliance of all site-based facilities and contractor activities. This includes overseeing statutory inspections, supporting the implementation of the site’s Planned Preventive Maintenance (PPM) programme, maintaining the site and equipment to a high standard, and ensuring that all services and contractors operate safely and efficiently in line with regulatory requirements and company standards.
The role also includes responsibility for water safety in accordance with Legionella (L8) regulations. As a visible and proactive safety champion, the Site Facilities Lead plays a key part in upholding safe working practices across the site — actively promoting hazard awareness, challenging unsafe behaviours, and supporting the QSHE team in maintaining a strong safety culture.
Key Responsibilities:
Contractor Management:
Manage all contractors attending site for planned and unplanned works, ensuring inductions are completed and site access procedures are followed.
Review and approve Risk Assessments and Method Statements (RAMS), challenging content where necessary to ensure site safety.
Carry out annual contractor reviews to verify insurance, competence, and compliance with internal and external requirements.
Maintain contractor registers, RAMS logs, and records of site visits and activities.
Statutory Inspections & Equipment Compliance:
Schedule, coordinate, and maintain records of all legally required inspections for site equipment and infrastructure (e.g. lifting equipment, LEV systems, pressure systems, fire alarms/extinguishers).
Manage and oversee the site’s water safety programme, including compliance with Legionella (L8) regulations, scheduling of water monitoring and testing, and coordination with specialist contractors.
Maintain up-to-date water hygiene documentation, logbooks, and ensure all remedial actions are tracked and completed.
Liaise with external inspection bodies and internal stakeholders to ensure remedial actions are completed and documented.
Site Maintenance & Services:
Maintain all areas of the site to a high operational standard, including equipment, access, and appearance.
Coordinate internal and external maintenance teams to respond to breakdowns and general repair requests.
Support the development and implementation of the site’s Planned Preventive Maintenance (PPM) schedule, ensuring equipment and infrastructure are maintained proactively and downtime is minimised.
Manage site utility services (electricity, gas, water), supporting internal systems such as environmental monitoring and meter readings.
Waste & Environmental Compliance Support:
Manage the site’s waste contractors and ensure waste segregation and disposal comply with all relevant waste legislation.
Monitor waste streams and maintain supporting documentation for environmental audits or EMS systems.
Tooling Register & Calibration Oversight:
Manage the site’s tooling register, including calibration schedules, vibration monitoring, and tool servicing.
Schedule contractor visits for tool testing and ensure all records are kept up to date for both quality and safety assurance.
Contract Review & Value Assurance:
Regularly review service contracts and supplier agreements to ensure the business is receiving best value in terms of cost, service quality, and compliance.
Benchmark contractor performance and cost-effectiveness against internal standards and external market expectations.
Support procurement or management in renegotiating contracts or identifying more efficient service options where appropriate.
Monitor Service Level Agreements (SLAs) and Key Performance Indicators (KPIs) to ensure contractor obligations are met.
Coordination and Administrative Support:
Support emergency response arrangements by maintaining clear access routes, contractor awareness, and up-to-date contact logs.
Liaise with internal H&S representatives regarding contractor status, open inspection actions, or site safety concerns.
Help maintain up-to-date records for toolbox talks, contractor compliance checklists, and inspection schedules (administrative responsibility only).
Person Specification:
Essential:
Minimum 3 years’ experience in a facilities, maintenance, or contractor management role within a manufacturing, industrial, or technical environment.
Strong knowledge and practical awareness of health and safety requirements, particularly regarding contractor management, site works, and legal compliance.
IOSH Managing Safely qualification (minimum).

Demonstrable experience reviewing and challenging RAMS and ensuring contractor safety during site works.
Excellent organisational and communication skills.

Familiarity with waste compliance or environmental reporting.
Knowledge of facilities-related software.
Basic understanding of tool calibration and vibration monitoring processes.
Experience working with or implementing Planned Preventive Maintenance (PPM) programmes in an industrial or technical environment.
Awareness of Legionella risk management and L8 guidance, including previous experience working with water safety contractors or internal monitoring systems.
Key Competencies:
Reliable, self-motivated, and well-organised with a hands-on approach.
Confident working with both internal teams and external contractors.
Strong sense of accountability and ownership of site presentation and compliance.
Ability to stay calm under pressure, especially during breakdowns or unplanned service issues.
Proactive mindset with the ability to plan, schedule, and follow through on inspections and maintenance.
